Call for Candidates: Community Council

By consensus at the November 15, 2009 Community Meeting, Embodydance will form a 7-member Executive Committee (now known as the Community Council), which is to include a General Manager (GM). These changes are the result of work done subsequent to the Embodydance Visioning meeting of 2009, in which it became clear to the Community that a more organized structure is needed to support the facilitators in their creative work and to ensure that the business of Embodydance runs smoothly, efficiently and in a timely fashion.

The selection process for the Community Council will begin immediately. The CC will serve as a committed and consistent microcosm of the Embodydance Community, meeting monthly and operating in a fully transparent manner. The CC will be entrusted by the Community to set the agenda for Community Meetings and handle much of the business and decision-making necessary for the operation of Embodydance. The CC, including the new GM, will be responsible for the seamless running of Embodydance.

Embodydance Community members are invited to serve the Community by becoming an CC member. If you are interested in serving on the CC, please submit an Application Form (available below and at dances.) Written applications can be given to Greeter at any dance. A multi-voting system will be used to select the CC.

Here are a few details about the CC. Full description follows below at this link.

  • CC consists of up to 7 individuals: 1 member of Board of Directors, 1 General Manager, 5 Community members.
  • Any community member can enter her/his name as a candidate to serve on the CC.
  • Applicants need to be aware of the need to be present for most CC meetings. A quorum of 4 people is necessary to hold a meeting and make decisions.
  • CC term length will be 1 year, with terms being renewable.
  • CC committee members receive compensation of dancing for free during term.
  • Being on the CC does not prevent one from applying for the GM position. (The office of GM is currently suspended. We have no GM at this time. The seat reserved for the GM will remain open for this election. So the Community Council will consist of 6 members.)

Embodydance Executive Committee (now Community Council)

Adopted by consensus Nov. 19, 2009

  • The CC will be entrusted by the Community to handle much of the business and decision-making necessary for the operation of Embodydance.
  • The CC will operate in a fully transparent manner, and will be open, to some extent, to the Community. It is acknowledged that there may be times or topics that require privacy. The CC is entrusted to establish a policy for the appropriate openness of meetings.
  • A summary report/minutes will be prepared after each CC meeting, to be posted on the Embodydance website within 5 days of the CC meeting, and to be presented at Community Meetings.
  • The CC will keep a documentation binder with all Agenda Proposal Forms and other documentation relative to CC activities, making that binder available at dances and Community Meetings.
  • The CC will draft a policy by which The Embodydance Community may review and reverse CC decisions if necessary.
    1. CC consists of up to 7 individuals that will meet monthly to set the agenda for Community Meetings, to conduct business, and to make decisions as authorized by the Community.
    2. Makeup of CC: 1 member of Board of Directors, 1 General Manager, 5 Community members
    3. A quorum of 4 is required for any decisions to be made by the CC.
    4. Two CC members will officially attend all Community Meetings.
    5. CC term length will be 1 year, with terms being renewable.
    6. CC will monitor and manage the GM position.
    7. Proposals of agenda items will be made to the CC in writing, on Agenda Proposal Forms. Agenda Proposal Forms will also be accepted via email.
    8. CC members may discuss and make decisions on proposed agenda items. CC may also decide, by consensus, with quorum, to send specific items to Community Meeting for discussion.
    9. CC will accept proposals from and contract with Embodydance individuals and groups regarding creative projects such as retreats, special dances, etc.
    10. CC may form sub-committees as needed.
    11. CC may authorize operating expenditures up to $3000 per six-month period and may approve budgets for revenue-generating special events up to $7000 per event.
    12. CC may approve contracts up to 12 months in duration.
    13. CC will monitor Embodydance finances, in cooperation with the Board of Directors and Treasurer.
    14. CC members will be compensated as follows: dance for free during term.

The Election Process


  1. CC consists of up to seven individuals: 1 member of Board of Directors, 1 General Manager,
    Plus, ideally but not mandatory:
    1 Facilitator, 1 Coordinator, and 3 Community members. Facilitators and Coordinators are encouraged to enter as candidates for the position.
  2. Any community member can enter her/his name as a candidate to serve on the CC.
  3. Five members will be elected from the Community, since the GM and one Board Member must be part of the seven-member CC. Previous CC members have the option to run for re-election.
  4. Candidates must submit their names by January 22, 2012 to a member of the CC or by filling out the online form. CC candidates can volunteer or be nominated.
  5. Candidate should submit photo and brief statement of reasons and qualifications to serve on the CC by January 22, 2012 to add to CC Candidates Page on the ED website, and to be available in printed form in a binder at all dances throughout the election process. This can be done by filling out the online form at embodydancesantafe.org or by handing the materials to any CC member.
  6. Voting starts on January 23 and ends on February 19, 2012 at 10pm.
  7. Voting will be done via SurveyMonkey and paper ballots available at dance starting January 23, 2012.
  8. A CC member will set up voting at SurveyMonkey, will give the log-in and password to Ruth Solomon. Ruth will change the password so she is the only person with access to the voting results until the election is closed.
  9. On or about February 21, 2012, a voting results committee of 3–5 people will meet as a group in a place with computer access to assure accuracy in the counting of the votes.
    They will then:
    a) Get the password from Ruth
    b) Log in to SurveyMonkey
    c) Enter all paper ballots (with all 3 members present to witness)
    d) Total the results and announce the 5 winning candidates to the Community

In the case of a tie for first, second, third, or fourth place, the 2 candidates will both be elected. In the case of a tie for fifth place, we will place the names of the tied candidates in a box and the name drawn by one of the three vote counters, in the presence of the other two vote counters, will be the winner of the fifth position.

The first meeting of the new CC will be in March 2011, held in conjunction with the out-going CC who will bring the new CC up to speed as to what business is in process and what responsibilities need to be addressed.

Responsibilities of the Community Council

4. CC committee members receive compensation of free dances for the duration of the term (1 year).
5. Two CC members will officially attend all Community Meetings.

7. Proposals of agenda items should be made to the CC via Agenda Proposal Forms submitted from the ED website, or by regular email. Paper Agenda Proposal Forms will also be accepted, but are not preferred.
8. CC members discuss and make decisions on proposed agenda items. CC may also decide, by consensus, with quorum, to send specific items to Community Meeting for discussion.
